Research Data Management

About Research Data
Research data are data obtained by various methods in order to understand, test or confirm hypotheses and draw conclusions, and which were generated or processed in the course of research. They come in various formats: notes, interviews, photographs, transcripts, numerical data, software code and other related material. Where data are not recorded or stored in digital form, authors should consider whether the material should be digitised, as this enables appropriate long-term preservation and reuse in a data repository. A data repository enables the storage of, and access to, various types of data (e.g. research data, public sector data) and the related documentation.
Data availability increases the transparency and verifiability of research findings and their usability in future research, and thus the return on resources invested in data that have already been collected. Data sharing can also support researchers' careers, as it increases the visibility of their work and enables collaboration with new partners.
Policy on Mandatory Citation of Research Data
In accordance with the Decree on the implementation of scientific research work in accordance with the principles of open science, the journal's co-funder, the Slovenian Research and Innovation Agency (ARIS), requires the editorial office to ensure that, before an article is published, its authors provide open access to the research data used in preparing it. The data must be prepared in line with the FAIR principles (Findable, Accessible, Interoperable, Reusable).
Exceptions to Fully Open Access to Research Data
Where data cannot be shared fully openly for legal, ethical or other justified reasons, authors must give a justification – for example, where personal data are protected (see the EU General Data Protection Regulation), where the material includes trade secrets or other commercially sensitive information regulated by law, or where the data pose security risks. The Decree requires open access to research data and other results of co-funded research in line with the principle "as open as possible, as closed as necessary".
Where the data cannot be made public, we recommend publishing appropriate metadata that describe the dataset, enable its identification and explain why access to the data is restricted.
Trusted Repositories
Authors must deposit research data in trusted data repositories, archives or centres that provide appropriate access arrangements. Information on the trusted repositories recommended by the journal's co-funder is available on the ARIS open science page (section "Repositories and infrastructure").
The editorial office recommends that researchers in Slovenia deposit their research data in trusted Slovenian repositories, such as:
- Digital Library of the University of Maribor (DKUM)
- Digital Repository of Research Organisations of Slovenia (DiRROS)
- Repository of the University of Primorska (RUP)
- Repository of the University of Ljubljana (RUL)
- Repository of the University of Nova Gorica (RUNG)
- Slovenian Research Infrastructure for Language Resources and Technology (CLARIN.SI)
- Slovenian Social Science Data Archives (ADP)
- Zenodo
Authors can also find a suitable data repository with online tools such as FAIRsharing or re3data.org.
We recommend publishing research data under the Creative Commons licences CC BY 4.0 or CC0 1.0, or an equivalent licence.
Citing Research Data
Authors must cite all data sources used in the journal's citation style (APA 7) and list them in the references. In the Data Availability Statement, authors must explain if the data have not been digitised or have not been published because of other restrictions (e.g. the Personal Data Protection Act, ZVOP-2, in Slovenian; the Copyright and Related Rights Act, ZASP, unofficial English translation).
Data Availability Statement Templates
To make it easier to prepare a Data Availability Statement, we offer the following templates, which authors should adapt to their article:
- "The article is based on research data deposited in [name of repository] and openly available at [persistent identifier or URL]."
- "The article is based on research data from existing, publicly available sources (textual sources, databases) listed in the references."
- "The article is based on research data deposited in [name of repository] that are not publicly available, or are available from the author upon reasoned request."
- "The article is based on archival sources listed in the references."
- "The article does not rely on research data."
- "The article is based on data that are fully presented and discussed in the text of the article; additional archiving of the data is therefore not required."
The Data Availability Statement is placed in the article as a separate section before the references.
Responsibilities of Authors, Editors and Reviewers
Authors must provide editors and reviewers with appropriate information on the research data underlying the article, or explain why the data are not accessible. Where possible, and in compliance with legal, ethical and contractual restrictions, the research data should be available to editors and reviewers during peer review, and to all readers no later than on publication of the article. An embargo on access to data is permitted only exceptionally, under reasonable embargo conditions and with an appropriate additional justification. It is the editor's task to assess whether the article is based on research data (the author's own data or data of other authors). If the editor finds that such data exist and the author has not cited them appropriately, the editor must ask the author to revise the article. The same applies to the journal's reviewers.
